Confidentiality Policy

As an HCPC‑registered Occupational Therapist (registration number OT085669), I follow the HCPC Standards of Conduct, Performance and Ethics, including:

  • Standard 5 — Respect confidentiality

  • Standard 10 — Keep records of your work

This policy explains how confidentiality works within our coaching relationship.

1. Our Commitment to You

Anything you share with me during coaching sessions, in intake forms, or in written communication is treated as confidential. I will not discuss what you’ve shared — or confirm that you are a client — with anyone outside the circumstances described below, unless you give permission.

2. What “Confidential” Covers

Confidentiality applies to:

  • Everything discussed during coaching sessions

  • Personal, family, and work‑related information you disclose

  • Health information, including anything relating to your ADHD or wellbeing

  • Session notes and any records I keep about our work together

3. Limits to Confidentiality

There are a small number of situations where I may need to break confidentiality, in line with professional and legal obligations:

Risk of serious harm

If I believe you, or someone else (including a child), is at risk of serious harm, I may need to share relevant information with an appropriate person or authority.

Legal requirement

If required to do so by a court order or by law.

Professional supervision

I discuss my coaching practice with a clinical/professional supervisor to maintain good practice standards, as required by the HCPC. Case discussions are anonymised or de‑identified wherever possible so you are not personally identifiable.

With your consent

For example, if you ask me to liaise with another professional supporting you.

Where possible, I will discuss this with you first and explain what I need to share and why — unless doing so would increase risk.

4. Record Keeping

In line with HCPC Standard 10, I keep clear, accurate records of our coaching work. These records:

  • Are stored securely (electronically, with password protection and encryption)

  • Are only accessible to me and, where relevant, my supervisor (in anonymised form)

  • Are retained for the period set out in my Privacy Policy

  • Can be requested by you at any time (see your rights under the Privacy Policy)

5. Group or Family Sessions

If any part of our work involves other people (e.g., a partner or family member joining a session), confidentiality applies to everyone present. I will agree ground rules for this with you in advance.
